㈡ 外貿郵件怎麼寫

外貿郵件除了要簡潔明了,條理清晰,主旨明確。
通常一篇完整的商務郵件包含以下幾個部分:稱呼,開篇,正文,結束語,禮貌問候。

Salutation——稱呼

開頭的稱呼大多數人都不會太注意,然而細節有時可以決定成敗。在西方國家,比如已婚女性和未婚女性所使用的表達就不一樣,因此在給女性客戶發郵件的時候請務必了解清楚。
用dear作為郵件的開頭肯定是沒有問題的,但是很多小夥伴卻忘了在後面寫上人名,電子郵件dear的後面一定要有「人」。因為翻譯的原因,很多人都認為「dear」是一個關系很親密的稱呼,但是在外國人眼裡這個詞其實是很正式的,就像我們寫信的時候寫的「尊敬的」、「敬愛的」等等。
所以在寫郵件的時候「dear」用在比較正式的場合,表示一種對他人的尊敬,後面可以加上名字或者姓氏。
如果是給不知道名字的人或者是在寫一封普通的郵件,可以在開頭選擇「Greetings」、「Hi there」。但在寫郵件的時候千萬別再使用Dear Sir和Dear Madam,這種說法過於老套並且很正式,給人一種你不必用心查找對方的名字的感覺,有點冒犯。還有「To whom it may concern」也不要用。
我們通常用的表達如下:

Dear Mr./ Ms. Smith (具體某人)
Dear Prof.(教授)/Dr.(博士)+ 姓(頭銜,職位)

Starting——開篇

對大多數商務郵件的開篇而言,我們都可以通過提及與客戶之前的接觸來表示友好的問候。
首先可以提及下你跟客戶的「交情」並做出感謝。比如感謝客戶跟你在哪裡見過面、吃過飯、拜訪過公司、展會上聊天或者通過電話,談論過什麼內容等等。如果並沒有的話,那麼就感謝對方的來信。(甚至沒有及時回復對方的時候也表示感謝讓其等了很久)
通常我們會用這樣的表達:

1. Thank you for your (kind) letter of January 15th.
感謝您在1月15日的來信。

2. It was a pleasure meeting you at the conference this month.
很高興在本月的會議上認識您。

3. I do appreciate your patience in waiting for a response.
感謝您耐心等待我的回復。

4. Thank you for contacting us.
感謝您聯系我們。

5. It was a pleasure meeting you in Shanghai last month.

上個月在上海見到您很高興。

6. I enjoyed having lunch with you last week in NewYork.
上周在紐約與您共進午餐很愉快。

7. With reference to our telephone conversation yesterday...

9. I would just like to confirm the main points we discussed on Friday.
我想確認我們在周五討論的要點。

在簡單寒暄之後,我們就可以直接點明寫信目的。此處請注意,在表達意圖的時候也要盡可能的簡潔明了。不然會讓客戶沒有興趣繼續讀下去。

State the main point——點名主旨

這一部分作為郵件的重點,需要向客戶表述你的主要訴求。比如你寫郵件是為了請求客戶幫忙、提供報價,詢問客戶問題、或者回應客戶需求,提供證明材料等。通常我們會用到這樣的表達:

1. We are writing to inform you that.../ to confirm.../ to request.../to enquire about...
我們寫信是為了通知/確認/請求/詢問……

2. I recently read/heard about...and would like to know...
我們最近聽說......因此想要知道...…

3. I am contacting you for the following reason...
此次聯系您主要是為了......

4. We'd like to invite you to a meeting on May 15th.
我們想要邀請您參加5月15日的會議。

需要注意的是,在做這部分表述的時候,我們通常可以使用以下短語:
Making a request 請求幫忙
1. We would appreciate it if you would …

如果您願意......我們將不勝感激。

2. It would be helpful if you could send us ...

如果您可以給我們發送......將會很有幫助。

3. I would appreciate your immediate attention to this matter.
感謝您對此事的關注。

最後一段通常我們會客氣的寒暄一下,寫上對客戶的期待(期待對方的回復/給出意見反饋等)。通常我們會用這樣的表達:

2. We tender you our sincere thanks for your generous treatment of us in this affair. 
對您在此事中的慷慨之舉,我們深表感謝。 

3. We should be grateful for your trial order.

某些情況下,展示的效果更好。與其寫一封500字的電子郵件,不如直接給客戶發一個視頻或者演示文稿,以此來表述你的想法。
